Managing Your Poker Night Invites and Responses (1 Viewer)

Thanks! I was ablee to get it set up, looks great. However, when I use any of the drop downs (add a name, clear all, etc.) nothing actually happens. Doesn't look like the script is running.
Double check that you set up the triggers and followed all the steps in the ReadMe tab.

Which version are you seeing this in?
The latest + the code you've upgraded + redeployed several times.
But again I'll reinstall everything after my holidays.
I wanted to give what i see in case this is a side effect for all. Keep up the good work. Thanks.

While we are at it, i suspect also that the "metrics" script doesn't run anymore too. Data shown in my metrics tab are quite "old" now.
I took a look at the copy you shared with me and I think this may be caused by the new date formatting. Maybe because there is a mix of US and FR date formats in the event log and/or archive tab.

I’ll do more testing.

You may be in for a treat. I've made major changes to the version I'm testing:

  1. Added a new field to the Guests column to let you make each guest active or inactive. (This can let you quickly disable someone from the system without deleting their info)
  2. Introduced message templates. This eliminates all the individual message tabs and replaces them with just two. One for choosing and sending the message and one for defining all your messages.
  3. Added Twilio integration for SMS texting. Twilio is a paid service and has proven to be much faster a much more reliable that the free method I was using. Also, if using this service there is no need to figure out what carrier network each of your guests are on.
  4. Renamed the Admin tab to Manage
  5. Added new options to add new Guests and new Message Templates to the manage tab. This allows you to do those operations right from the mobile sheets app. Previously you had to do it from a PC.
I need a little more time to prepare all of this to be shared and more time after that to update the manual on how to use the new features, but it will be coming soon.

Thanks for this tools and the new features
I will give it a try to the 3.4 version during my holidays ;)

Hi All,
I just released a major new version of Invite Tracker with the following features:

I consider this a late beta and have only used it a couple of times for my own home game. I'll fix any bugs as they get reported, but based on my own experience it is more than functional.

I do need to update the documentation - especially with instructions on how to configure the Twilio integration. I should have this done in a week or two and I am happy to answer questions ahead of that.

Just head over to the resources page to grab your copy.

UPDATE: This has been moved to Resources. (No more need to PM me to get your own copy)

I’ve been running a weekly game for 10 plus years and one issue I’ve struggled with was managing my invite list and tracking the responses. I’ve tried out all the invite apps like Evite and the like. But my crew is old school and I didn’t get much adoption. Emails and texts were a pain to manage and the threads often got hijacked for banter and other things. It made it very difficult to track who was in, out, late, etc.

I’ve finally came up with something that works and I’m happy to share it. I’ve used it for the past three game nights and it worked like a charm.

For some background here were my requirements:
  1. I needed something that was easy on the player. They should be able to respond right from their phones without a need to know a user ID or password.
  2. Players should not be able to update each other’s statuses but they should be able to see everyone else’s status.
  3. The system should be completely automated and be able to estimate jape many people will show.
  4. I should be able to manage everything from my mobile phone.

What I came up with:

I was able to build a Google Sheet with a built-in web based front end. The Google Sheet is used by me, everyone else uses the web front end they access via a personalized link I send them with the invite.

All they have to do is click on the link and update their status.

Here is a screenshot of what that looks like to the players:

While they are there they can see everyone else’s responses.

I use an iOS app called SendHype to send the invites with the personalized links. Their user name is embedded in the link. I’m not too worried about security. We’re all friends.

On my end, I can use my personalized link to check responses or I can use the Google Sheets app to do a lot more. The spreadsheet is able to track who responded when and I’m able to see who my frequent flyers and chronic non responders are.

Here are some screenshots of what it looks like from the Sheets app.

Like I said, I’m happy to share a copy of this google Doc with anyone who is interested.

I also welcome any feedback or suggestions for improvements.

Lastly, I’m a complete hack at css/html and JavaScript. So please don’t judge my code. I welcome any help in making the page more responsive and better looking in general.

Oh, one last thing, here are some live links to a demo I set up. Feel free to take it out for a spin.

I managed my weekly game for 7 years definitely when calling and word of mouth was the way, and for the last two years (current run) when individual texts have been the norm.

I have a simple word note on my phone so I know who’s been contacted and how many times and who’s in and who’s out.

Easy peasey.

I've also been using it, but only for a year and a half now on my phone (after setup) and I'm very satisfied with it too :)
