I know there's plenty on the forum about the benefits and detriments of running a sheet. I understand and am not here for that.

The switch to PLO has the rebuys coming fast and furious. At times multiple at a time.

I just want to know your process. Lammers? Text messages? Signatures? What's your process for tracking whats loaned and getting chips on the felt.

Thanks.

Nothing fancy… player names and buy-in amounts written down as they’re happening. This is mostly to ensure the bank is right at the end of the night regardless of credit vs cash (although that’s also notated).

As for time taken, it’s not much really and worth the peace of mind but the game will pause until the info is captured and chips are issued.

I think there is some detriment to actually having and publishing stats.

Jus use a buy in tracker?

I host games often, and I’m quite strict with tracking since any money issues fall on me. I ended up building a simple mobile-friendly tracker with timestamps to help with that.

Feel free to DM me if you want to check it out

I have a basic run sheet that has the players listed and then columns for each rebuy amount beside their names. The game is paused and the chips and money exchanged. No credit, as per above :) Keep it simple.

Lammers is the cleanest solution IME. Everyone starts with the same amount of chips + lammers in front of them. At the end of the night, your chips + lammers - the amount everyone started with is what you’re up or down on the night.

I don’t like writing down buyins throughout night. Opens the door for too much confusion at the end - “oh I only had two buyins, not three.” You’re going to be in the right 99% of the time but it creates issues where there doesn’t need to be any.

One way to mitigate the above would be to have somewhere for the player to make a record of their rebuys - a mobile friendly google form, texting, email, Signal, etc… that way the players have a record of how much they’re in for without actually exchanging the money.

Google sheet. Write down initial buy ins + rebuys, sum it all. No chips until the payment clears (cash, Venmo, Zelle). Now you know how much is on the table.

Add up the chips at cash out to make sure the totals match up. If there’s a discrepancy, then recount until it’s right.

Hopefully I'm not hijacking and maybe this will help others.

I'm thinking there might be a better way for my game as well, so let me know. It's a 7 player max, low stakes $15 Buyin, social game.

Currently, we just use cash. Players pay me and I provide chips. I do like the nostalgic feel and it's not overly cumbersome, but I have a couple hundred dollars tied up in $5s and $1s, so I always have change. Also, I can't read players and game action as much, because I'm the bank., so it's a distraction. It's not terrible, but I know I could play better if I could focus more. I don't think any players would have an issue sending funds through an app, but explain how that works? The process, not the app payment. Does everyone pay me, get chips, then I pay them out based on their chips at the end of the night? Are there any fees involved, as long as we use direct bank to bank?

You could just have players buy $100 in chips before the game starts. Firm rules on announcing top ups.

Presume that you have semi secure chips and your players won't chip spike a pot...

Perhaps with the right players, but this game won't see that kind of action and $100 would have every hand seeing the river. It would be ugly :(

I just use the spreadsheet function of Notes on my iPhone. First name, buy in amount, cash out amount. This way I know what should be in the bank and my balance is zero at the end of the night. Then clear the sheet for privacy, even though a first name isn’t getting anyone in trouble. If they bought in for $300 and then rebuy for $500 more, it will just read $800 on the sheet. I have on more “player” named Venmo and what the grand total should be there to add to cash for my balance check at the end of the night. And I always have plenty of cash on hand to pay in cash, even if they bought in with Venmo or PayPal. But, definitely no loans. Unless I want to never see them again. Then a small loan might be worth it. lol

I have my guys Venmo me, keep the balance in my Venmo, then just pay out what the chips say from my Venmo.

The trick, which I messed up the first time, is to add your own funds to your Venmo account for YOUR buy-in. Otherwise, the bank will look off at the end of the night.

Even if you skip this step, it’ll still work out. If you lose, you’ll have a shortfall in the “bank” and you’ll pay out the last person from whatever account you have funding the Venmo. If you win, you’ll see a surplus of your profit minus your buy in remaining in your account.

But to keep it simple, I like adding funds to my Venmo equal to my buy-in’s. That way the money in the Venmo is exactly equal to chips on the table.

I have an Excel sheet using macros (thank you chatgpt!) to:

-name players
-choose currency
-buy-in/rebuy
-cashout
-calculate results and bank balance
-calculate who transfers (Swedish Venmo) to whom using the as few transactions as possible.

Obv it needs to be with trusted players only. It’s our best option though. Cash is dead and the ”Venmo” option has low total transfer limits that make multiple back and forth transactions to one poker bank account not work.

Yeah. I wouldn’t think Venmo would work for the stakes in question for OP or anything beyond .25/.50 or something. Only micro stakes can use it really.

What are the venmo limits, never run into that issue? Our game is cash for chips only, players can loan to eachother, but no loans to/from the house. Though to be fair a big swing in our game would be +/- $200 in a night, so maybe we just aren't hitting those venmo limits.

It took a little while for the regular to get used to cash for chips up front rather than chasing up debts at the end, but once we got it on board, people liked it since it meant immediate cash outs at the end of the game.

This is so shocking to me. I’m sure it’s an age thing. But cash up front is such a natural part of every game I’ve ever played in that I don’t think anybody’s even mentioned it - you walk in, you pull money out of your pocket.

I have a designated "Number Two" who is the only other player allowed to access the chips/bank and this helps a lot. Just have to make sure it's someone you trust implicitly.

I trust everyone at my game, save any guests, which are rare. However, logistically, no on else could access the chips, unless I move from my chair. We use an octagon table that works very well, but I have other games and tables in the room, so we're in one corner of the room and I always sit with back to the wall ;)
